Set Up Multi-Factor Authentication (MFA)
Multi-factor authentication (MFA) adds a second check when you sign in, so a stolen password alone will not get someone into your account. How you set it up depends on whether your work account runs on Microsoft 365 or Google Workspace — pick the tab that matches.
We recommend the Microsoft Authenticator app. Here is how to set it up.
Open Microsoft MFA setup ↗Step 1: Install the app on your phone
Section titled “Step 1: Install the app on your phone”- iPhone: open the App Store and install Microsoft Authenticator.
- Android: open the Google Play Store and install Microsoft Authenticator.
The app is free and made by Microsoft.
Step 2: Start setup on your computer
Section titled “Step 2: Start setup on your computer”- On your computer, go to aka.ms/mfasetup and sign in with your work email.
- If prompted for more information, select Next.
- When asked which method to use, choose Microsoft Authenticator, then select Next.
Step 3: Connect the app
Section titled “Step 3: Connect the app”- Open the Authenticator app on your phone.
- Tap the plus sign, choose Work or school account, then Scan a QR code.
- Point your phone at the QR code on your computer screen.
- Follow the prompt to approve a test sign-in.
Step 4: Using MFA from now on
Section titled “Step 4: Using MFA from now on”When you sign in, you will get a notification on your phone. Approve it to finish signing in. If asked, enter the number shown on your computer into the app. This confirms it is really you.
Google’s MFA is called 2-Step Verification. The easiest setup is a Google prompt sent to your phone, with an authenticator app as backup. Here is how to set it up.
Open Google 2-Step Verification ↗Step 1: Get ready on your phone
Section titled “Step 1: Get ready on your phone”- Android: if you are already signed into your work Google account on the phone, you are ready — Google prompts work automatically.
- iPhone: install the Gmail app (or Google app) from the App Store and sign in with your work email, so your phone is linked to your account.
Step 2: Turn on 2-Step Verification
Section titled “Step 2: Turn on 2-Step Verification”- On your computer, go to myaccount.google.com/security and sign in with your work email.
- Under “How you sign in to Google,” select 2-Step Verification.
- Select Get Started (or Turn On), then follow the prompts to confirm your phone number.
- Google uses a prompt on your phone as your main sign-in method.
Step 3: Add an authenticator app as backup (recommended)
Section titled “Step 3: Add an authenticator app as backup (recommended)”- Still on the 2-Step Verification page, find Authenticator app and select Set Up.
- On your phone, open Google Authenticator (or Microsoft Authenticator), tap the plus sign, and choose Scan a QR code.
- Point your phone at the QR code on your screen, then enter the 6-digit code it shows to confirm.
Step 4: Using MFA from now on
Section titled “Step 4: Using MFA from now on”When you sign in, Google sends a prompt to your phone asking if you are trying to sign in. Tap Yes to approve. If you set up an authenticator app instead, open it and enter the code shown.
- Keep your phone handy when signing in on a new device.
- Only approve sign-ins you started. If you get a request you did not expect, deny it and tell us right away.
